CRM for nonprofits: free licences, limits and the cost of upgrading
Compare nonprofit CRM donations, general free plans and paid seat costs. Check eligibility, permissions and migration work before choosing a system.
Start with the work, not the licence count
A nonprofit CRM might track donors, volunteers, sponsors, grant applications or service relationships. Those are different jobs. List the records you need, who may see them and the reports you must produce before comparing subscription prices.
This guide reviews published vendor documentation checked on September 15, 2026. It is not hands-on testing or a claim that one CRM is best for every nonprofit. A free licence can be useful, but it does not prove that a product includes donation processing, receipting or the integrations you need.
Two nonprofit programs can cover a team of ten
Salesforce's Power of Us program offers approved organisations 10 donated Enterprise Edition licences. Its current application lists Agentforce Nonprofit, formerly Nonprofit Cloud, or a Sales and Service bundle. Select the right bundle and confirm approval before treating that subscription line as zero.
monday.com's nonprofit program includes 10 free Pro seats for products including CRM, with 70% off additional seats. Eligibility and the selected product matter. A team of eight should check these programs before assuming that it must buy eight ordinary commercial subscriptions.
General free plans for two or three people
HubSpot's free CRM supports up to 2 users and 1,000 contacts. Zoho CRM's free-edition guide lists 3 users and 5,000 contact records. These are general free plans, not nonprofit approvals, and their other feature limits still apply.
Attio's Free plan lists up to 3 seats and 50,000 records, plus contact syncing and data enrichment. Its comparison table also lists separate limits for reports, email and credits. A record allowance is not a promise of unlimited automation or access controls.
Choose a plan that covers the people who actually need accounts. Do not solve a seat limit by sharing one login: that makes ownership, access removal and activity history harder to manage.
Odoo limits apps rather than the number of users
Odoo's One App Free plan offers one selected app on Odoo Online for unlimited users. CRM can be that app. Required dependency apps can be included, so seeing more than one installed app does not automatically mean the plan has become paid.
Adding independent applications can trigger an upgrade. Check the dependency rules and the proposed subscription before enabling another app. This is not a blanket promise that CRM, accounting and every other business tool are all free together.
Price an upgrade for the actual team
Freshsales Growth lists $9 per user per month billed annually. For 5 users, the calculated base subscription is $540 a year: $9 × 5 × 12. For 8 users it is $864. These examples exclude taxes, add-ons, usage charges and implementation.
Pipedrive Growth lists US$468 per seat per year. Five seats therefore total US$2,340, and eight total US$3,744. These plans do not have identical features, so the difference alone does not establish which is better value.
The dollar figures are the published amounts used for these examples, not Canadian-dollar conversions. Confirm the billing currency, seats, term and total due before purchase. If an approved donated plan meets the same requirements, its licence cost may remain zero.
A single-seat price cannot be multiplied into a team plan
Close Solo lists $9 per month on annual billing, with a limit of 1 user and 10,000 leads. It is not an eight-seat plan at that rate. A growing team needs to compare a team-capable tier instead.
EngageBay offers both free and paid All-in-One tiers. Its Free tier lists 250 contacts, while Growth includes a larger allowance and additional automation. Compare the exact tier and billing term, not a Growth price described as the minimum cost of the whole product. Its CRM, marketing and support components also need to match your workflow.
Keep prospecting separate from donor management
Apollo.io is oriented toward sales prospecting, data enrichment and outreach. Those functions are not equivalent to managing donation history, volunteer relationships or restricted case records. We keep its catalogue link for readers researching that separate job, not as a promised replacement for a nonprofit CRM.
Apollo's pricing page distinguishes trial credits from plan entitlements and notes a rollout of a new credit system. Do not assume that a trial's allowance is a recurring free monthly allowance. Check the plan actually offered to your account before building an outreach process around a fixed quota.
Include implementation without inventing a consulting bill
Budget separately for importing records, removing duplicates, configuring fields, setting permissions, building reports and training the people who will use the system. A donated subscription does not perform those tasks by itself. They may use staff time, volunteer time or a paid provider; there is no universal setup price in this guide.
Assign someone to maintain the CRM after launch. Test a small, non-sensitive sample first and verify an export before moving the full database. Keep the old system available until you have checked the records and the work that depends on them.
A practical shortlist by team size
For a two-person office, compare the general free plans against the required records and features. For three people, HubSpot's two-user allowance may rule it out, while Zoho or Attio may still fit. That is a capacity check, not a product ranking.
For an eligible team of four to ten, review the Salesforce and monday.com donation programs and Odoo's one-app model before comparing paid seat totals. Above ten, request the actual additional-seat price and check whether a different tier is required. Approval, permissions and workflow fit still come before price.
Keep the plan free if it does the job. Upgrade when a specific requirement justifies the total cost, not simply because an annual discount is advertised.
Questions
Does a nonprofit with eight users have to pay for CRM?
Not necessarily. Approved Salesforce and monday.com nonprofit programs can include 10 licences or seats, and Odoo's One App Free model does not cap users. Check eligibility and required features before counting the subscription as free.
Is a free CRM the same as a free trial?
No. A trial can include paid features for a limited time. Check the ongoing plan, the features that remain after the trial and whether the account will be charged.
Can we budget Close Solo at $9 for every employee?
No. Solo is limited to 1 user. Compare a team-capable tier rather than multiplying the single-user offer.
What does Freshsales Growth cost for five users?
At the published $9 per user per month annual-billing rate, the calculated base subscription is $540 a year. Taxes, add-ons, usage and setup are separate.
Which CRM is the cheapest overall?
There is no universal answer here. An approved free plan may fit, but required features, seat count, migration work and ongoing administration determine the total cost. This guide does not claim an exhaustive market comparison.
