Nonprofit software costs: free licences, paid gaps and a sample budget
Build a nonprofit software budget around actual eligibility, seats and required features. Compare donated licences, discount conditions and annual costs.
Confirm eligibility before assigning a zero-dollar budget
Nonprofit status does not automatically qualify an organisation for every software program. Vendors use different country, registration and activity requirements. A school, charity and social enterprise may not receive the same offer.
We reviewed the official pages linked below on September 15, 2026. This is documentation research, not hands-on testing or a promise of approval. Dollar amounts are vendor-listed base prices, not Canadian-dollar conversions. Confirm currency, taxes, billing and any required services before committing.
Collaboration and design can have no licence charge
Slack offers eligible nonprofit workspaces with up to 250 members a free Pro upgrade. Google Workspace for Nonprofits has a no-charge edition for qualifying organisations. Canva's nonprofit program includes Pro features and collaboration for one approved team of up to 50 users.
Atlassian advertises 100% off Jira, Confluence and Loom for up to 25 users. That is not a claim that every Atlassian product and tier is free. Choose the products your team will use, then confirm each approval and its limits. Migration, training and ongoing administration still take time.
A CRM does not inevitably become the paid part of the stack
monday.com's nonprofit program includes 10 free Pro seats on its listed products, including CRM, with 70% off additional seats. Salesforce's Power of Us program offers 10 donated Enterprise Edition licences to approved organisations. These are real options to evaluate before assuming a five-person team must pay.
For an organisation without program approval, general free tiers are a separate route: Zoho CRM supports up to 3 users, HubSpot lists up to 2 users and 1,000 contacts, and Odoo offers one app with unlimited users under its One App Free conditions. None is a promise that all required donor, reporting or permission workflows are included.
Price a paid CRM only after identifying the missing requirement
Freshsales Growth lists $9 per user per month billed annually. Five paid users therefore cost $540 for a year: $9 x 5 x 12. This is a calculation for that plan, not the minimum price every nonprofit must pay.
Pipedrive Growth lists US$468 per seat per year, or US$2,340 for five seats. The two plans are not interchangeable: compare required features, integrations and administration before judging value. A required permission or workflow can justify paying before a free seat allowance is exhausted.
Signatures and invoices: match the allowance to the workflow
PandaDoc's help centre gives 5 documents per month and keeps 60 per year only for older annual Free accounts (read on October 5, 2026). Its pricing page is split: on October 8, 2026 the Free card read "Includes 60 docs for free per year" and the comparison table "5/month shared limit"; on October 5 the card had read "Create 5 documents per month". A busy month cannot borrow from a quiet one. The help centre lists 2 recipients per document. Sent documents count, not only completed signatures.
The US Docusign nonprofit page lists Standard at $210 per user billed annually, with 100 envelopes per user per year, subject to eligibility verification. An envelope is not the same unit as a single document. Bonsai Essentials lists contracts and invoicing at $19 per user per month billed annually, or $228 a year. Premium is a different plan. Compare only the features you need and keep payment-processing fees separate.
Email: list size is only one of the limits
Kit Free supports up to 10,000 subscribers and beehiiv Free up to 2,500. Automation, branding, collaboration and other features can still require a paid tier. A small list is not enough evidence that every workflow should be free.
Mailchimp offers verified nonprofits a 15% discount, requested before purchasing a marketing plan. GetResponse advertises a 50% nonprofit discount with important conditions: a logo and link on your site, no combination with annual or other discounts, and a 24-month term before standard fees resume. Read those obligations and the eligible plan before comparing an annual total.
Add optional tools only when there is a clear need
Asana advertises 50% off through its nonprofit program. Airtable's nonprofit Team rate is $12 per billable collaborator per month, or $144 a year, and its ordinary annual discount does not stack. Hootsuite lists a nonprofit Standard rate of $39 per user per month. These are optional services, not a required bundle.
Zoom's nonprofit program advertises 50% off selected annual products. Confirm the product, hosts and any validation or administration fees before calculating a total. Office 365 A1 for Education is for eligible institutions, students and educators; a nonprofit label alone does not establish education eligibility.
A worked example with explicit assumptions
Suppose a ten-person organisation already has approvals for the no-charge Slack, Google Workspace and Canva plans, needs five Freshsales Growth seats, and selects one eligible Docusign Standard nonprofit seat. The two paid base subscriptions total $750 a year: $540 + $210. This is a hypothetical licence budget, not a complete operating budget or a recommendation to buy both.
If an approved donated CRM meets the same requirements, the $540 line could instead be zero. If PandaDoc's free limits meet the signature workflow, the $210 line could also be avoided. Do not assume either substitution fits. Email, conferencing, extra usage, implementation, domains, taxes and processing fees remain separate decisions.
Apply, test, then commit
Start with the program that could cover your most important workflow. Record its requirements, approval status, seats, renewal date and remaining gaps. Test with a small, non-sensitive sample before importing donor or client records.
Keep an existing service running until the replacement works and the new offer is confirmed. Compare monthly flexibility with annual savings only after that test. There is no universal rule that an annual contract is the best nonprofit discount, and no need to add software simply because a program makes it available.
Questions
Do nonprofit programs cover every product and plan?
No. Check the named products, tier, seat allowance, location and eligibility requirements. Approval for one vendor does not grant approval for another.
Must a five-person nonprofit pay for a CRM?
No. monday.com and Salesforce have donated-licence programs to evaluate, subject to approval and fit. General free tiers and paid plans have different limits and features.
Can the nonprofit and annual discounts be combined?
Do not assume so. Airtable says its ordinary annual discount does not apply to nonprofit workspaces. GetResponse says its nonprofit discount cannot be combined with annual, biennial or other special discounts.
Is the $750 example the total cost of running the organisation?
No. It only adds five Freshsales Growth annual seats and one eligible Docusign Standard nonprofit annual seat. Taxes, implementation, extra usage and other services are excluded.
Is a free education plan available to every nonprofit?
No. Education offers such as Office 365 A1 require their own institutional or user eligibility. Check that program separately.
