Free software plans: useful limits, hidden costs and when to upgrade
Compare 10 free software plans by seats, usage, commercial-use rules and upgrade limits. Official sources checked, with no claim of hands-on testing.
Start with the job, not the free badge
A free plan can be enough for ongoing work. Paying is not automatically better, and a free trial is not the same as a free plan. Before signing up, write down the job you need to finish, the number of people involved and your busiest month.
This guide compares published vendor limits checked on September 15, 2026. It is documentation research, not hands-on testing. Free-plan terms can change. Follow the official sources below before moving important work.
CRM: count people and records separately
HubSpot's free CRM page lists up to 2 users and 1,000 contacts. Zoho CRM's free edition supports up to 3 users. A team can run out of seats before it runs out of records, so do not choose only by the contact allowance.
Odoo's One App Free plan includes one app and unlimited users on Odoo Online. Required dependencies can be included, but installing additional applications can move the account to a paid plan. Check the exact combination before adding modules. These three products do not offer identical workflows just because each has a free option.
Automation: credits are not completed workflows
Make Free lists 1,000 credits a month and a 15-minute minimum interval between scheduled runs. Most actions use one credit, while some AI features use more. One workflow can contain several actions and process multiple items, so 1,000 credits does not mean 1,000 completed customer jobs.
For a simple planning example, a workflow that consumes 5 credits per job would fit 200 jobs into 1,000 credits, before other activity. Measure the actual scenario you intend to use. More frequent scheduling can require a paid plan even if credit usage is low.
Signatures: confirm the limit that applies to your account
PandaDoc's pricing page disagrees with itself. Read on October 8, 2026, the Free plan card says "Includes 60 docs for free per year" while the comparison table on the same page gives "5/month shared limit". On October 5, 2026 the card read "Create 5 documents per month", so the card has switched back.
The help centre says "5 per month (60 per year on older annual Free accounts)" (read on October 5, 2026). Going by the table and the help centre, a new Free account gets a monthly cap, not an annual pool, so a busy month cannot borrow from a quiet one.
The help centre lists 2 recipients per document and 5 templates. Count documents sent, not only completed signatures. If your agreement needs more recipients, the monthly document allowance is not the deciding factor. Keep copies of completed documents and check access rules before downgrading.
Hosting: a traffic allowance is not a service guarantee
Supabase Free lists 50,000 monthly active users, a 500 MB database and a limit of 2 active projects. Free projects can pause after one week of inactivity. The user figure is an authentication allowance, not a promise that every application with that audience will fit its database, storage and transfer limits.
Cloudflare Workers Free lists 100,000 requests per day and 10 milliseconds of CPU time per invocation. A daily limit is not a monthly pool, and associated storage or database services have their own allowances. Plan for the busiest day and the work each request performs.
Commercial use: check permission before capacity
Vercel Hobby is restricted to non-commercial, personal use in its plan documentation. A small business website does not become eligible simply because traffic is low. Review the permitted use before treating free hosting as part of a client project.
For other tools, check output licences, watermarks, attribution and data-export terms. A free subscription does not by itself establish that a tool is suitable for confidential work, that commercial use is permitted, or that every required feature is included.
A free editor does not include unlimited AI usage
Zed Personal is listed at $0. It can work with your own API keys or external agents, but those providers may charge separately. The free editor and the model service are separate parts of the budget.
If you add hosted AI or an external subscription, compare its usage allowance and spending controls before enabling it. Do not treat bring-your-own-key access as free inference.
SEO: a verified-site tool is not unrestricted competitor research
Ahrefs Webmaster Tools is now presented as Ahrefs Free. The official page lists unlimited verified websites, 5,000 Site Audit crawl credits per project per month, and up to 1,000 backlinks and keywords visible at once in Site Explorer.
That can help review your own site, but it is not the same as unrestricted research on competitors. Ownership verification and feature limits matter more than the word free.
Stay free until a specific limit justifies an upgrade
Use a short checklist: does the plan permit your use, fit your busiest period, include the features you need and let you export important work? Test with a small, non-sensitive sample first.
If it fits, staying free is a reasonable decision. If it does not, compare the next suitable plan's total cost, including seats, required add-ons, usage fees and renewal terms. Choose annual billing only after the workflow is proven. A discount is not a reason to buy a feature you do not need.

Do free plans expire?
A free plan may have no fixed trial end date, but its availability, limits and account-activity rules can change. Check the vendor's current terms and keep an export path for important work.
Can I use a free plan for client work?
Only if the vendor permits that use and the plan meets your requirements. For example, Vercel Hobby is restricted to non-commercial, personal use. Capacity alone does not determine eligibility.
Does 1,000 Make credits mean 1,000 automations?
No. Credit consumption depends on the actions and features used. A workflow can consume multiple credits each time it processes a job.
When should I pay for software?
When a required feature, permission or capacity limit makes the free plan unsuitable, and the paid option is worth its total cost. Staying on a free plan that meets your needs is valid.
Is a self-hosted community edition the same as a free hosted plan?
No. With self-hosting, server costs, maintenance, updates and backups may become your responsibility. Compare those costs and responsibilities separately.
